Finance Hub

The Finance Hub dashboard in Sixième Étoile — real-time KPIs, accounts receivable aging, payment tracking, and accounting exports.

Overview

The Finance Hub (section LA of the design canvas) is the financial command center for VTC operators. It consolidates all invoicing and payment data into a single dashboard with five interconnected views, replacing the need to export data to a spreadsheet for routine financial monitoring.

Access the Finance Hub from the Invoicing → Finance Hub menu entry or from the shortcut card on the operator dashboard.


Screen LA-01 — KPI Dashboard

The KPI view provides a snapshot of financial health for the selected period. All figures update in real time as invoices and payments are recorded.

Period Selector

Choose from preset ranges (this week, this month, this quarter, this year) or define a custom date range. All KPIs update instantly when the period changes.

Period-over-Period Comparison

Each KPI card shows the percentage change versus the same period in the previous year (or previous month, depending on the selected period). Green indicates improvement; red indicates deterioration relative to the reference period.


Screen LA-02 — Receivables (Accounts Receivable Aging)

The Receivables view lists all invoices with an outstanding balance, organized by aging bucket. This is the primary tool for collections management.

Aging Buckets

Invoices in the 61–90 and 90+ buckets are highlighted in amber and red respectively to draw attention to critical receivables.

Quick Actions

Each row in the receivables table offers inline quick actions:

  • Send reminder — sends a pre-built payment reminder email to the client's billing contact and logs the date.
  • Register payment — opens the standard payment registration dialog pre-linked to that invoice.
  • View invoice — opens the Invoice Detail in a new tab.

Filters

The receivables view can be filtered by:

  • Client — show receivables for a single client or agency.
  • Aging bucket — show only invoices in a specific overdue bracket.
  • Amount range — focus on high-value receivables.
  • Due date range — isolate invoices due in a specific window.

Screen LA-03 — Payment Tracking

The Payment Tracking view shows a chronological list of all payments recorded in the platform, regardless of how they were registered (single payment, bulk payment batch, or partial payment).

Payment Timeline

Payments are displayed as a timeline grouped by week or month (toggle available in the top-right of the view). Each entry shows:

Clicking on any payment entry expands it to show the full detail including the operator who registered it and any notes.

Filtering Payments

Filter by date range, client, payment method, or reference number. The total for the filtered set is displayed at the bottom of the list.


Screen LA-04 — Export

The Export view allows operators to export financial data for use in external accounting software (e.g., Sage, Cegid, or a generic accounting package).

Export Parameters

Before triggering an export, configure:

  • Period: date range for the export.
  • Status filter: include all statuses or only specific ones (e.g., exclude DRAFT).
  • Client filter: export data for all clients or a specific client.
  • Format: CSV (semicolon-delimited, UTF-8) or XLSX.

Exports are generated server-side and downloaded directly to your browser. Large exports (over 1 000 invoices) are queued and a download link is emailed when the file is ready.


Screen LA-05 — Filters and Settings

The Filters & Settings panel lets you configure default display preferences for the Finance Hub:

  • Default period — the period shown on first load (e.g., current month or current year).
  • Currency display — HT-first or TTC-first throughout the Finance Hub views.
  • Reminder templates — edit the default payment reminder email text used by the quick-action Send reminder button.
  • Aging thresholds — adjust the 30/60/90-day bucket boundaries if your organization uses non-standard terms (e.g., 45/90/120 days for public-sector clients).

The Finance Hub aggregates data from all invoicing actions across the platform:

Practical Tips

  • Daily routine: open the Finance Hub each morning and check the Receivables aging view for any invoices that crossed into a higher bucket overnight. Send reminders for the 31–60-day bucket before they become critical.
  • Month-end export: run the Invoices and VAT summary exports at month-end before closing your accounting period. Keep the XLSX files in your accounting archive for the 10-year retention period.
  • Collection rate target: a healthy VTC operation typically maintains a collection rate above 95 %. If your rate drops below 90 %, investigate the 61-90-day bucket for systemic client issues.
  • Reminder cadence: a common effective cadence is: reminder at 7 days overdue, second reminder at 21 days, escalation call at 45 days, and legal notice at 90 days. Configure the reminder templates in LA-05 to match your policy.
