Driver Compliance

Track driver document compliance in Sixième Étoile — VTC licence, medical certificate, insurance, expiry alerts, and audit trail.

Overview

The Driver Compliance view (H-04) is a dedicated document-management dashboard for each driver. It tracks the validity and expiry of all professional documents required under French VTC regulation and integrates with the dispatch engine to automatically enforce compliance.

Access it from the Compliance tab within any driver's detail view (H-02).

Tracked Documents

The following document categories are monitored for every driver:

DocumentDescriptionRegulation basis
Carte professionnelle VTCVTC professional card issued by the prefectureObligatory for VTC activity
Permis de conduireDriver's license (category B or higher)Road traffic law
Aptitude médicaleMedical fitness certificate from approved physicianDécret VTC
Assurance RC ProProfessional liability insurance certificateObligatory for commercial transport
Assurance véhiculeVehicle insurance certificateRoad traffic law

Each document record stores: document type, reference number (optional), issue date, expiry date, and an uploaded file (PDF or image).

Compliance Status

The overall compliance status of a driver is derived from the worst-case status of all their documents:

StatusBadge colourCondition
COMPLIANTGreenAll documents are valid and not expiring within 30 days
EXPIRING_SOONAmberOne or more documents expire within the next 30 days
NON_COMPLIANTRedOne or more documents are already expired

This status badge is visible on the driver list (H-01) and in the dispatch assignment panel. Non-compliant drivers are automatically excluded from new mission assignments. The exclusion is applied at the dispatch engine level — they will not appear in the available-driver list when assigning a new mission.

Expiry Alerts

The platform generates automatic notifications at two thresholds:

  • 30 days before expiry: an amber alert appears on the driver's compliance tab, and an in-app notification is sent to all operator admin users.
  • 7 days before expiry: the alert escalates to red, and an additional email notification is sent to the operator's registered admin email address.

Alerts are cleared automatically when the document record is updated with a new valid expiry date.

Uploading and Updating Documents

  1. Open the driver's compliance tab (H-04).
  2. Locate the document category you want to update.
  3. Click Upload (to add the first document) or Update (to replace an existing record).
  4. Select the file from your computer (PDF, JPG, or PNG, max 10 MB).
  5. Enter the new expiry date in the date picker.
  6. Optionally enter a document reference number.
  7. Click Save.

The document record is updated immediately, the compliance status is recalculated, and — if the new expiry is more than 30 days in the future — any active alerts are cleared.

Audit Trail

Every document action is logged in the compliance audit trail:

  • Document uploaded / replaced
  • Expiry date changed
  • Manual status override (admin only)
  • Dispatch exclusion applied / lifted

The audit trail is read-only and includes the timestamp and the name of the operator who performed each action. It is accessible from the Audit sub-tab on the compliance view.
