Booking wizard
Create a new booking or mission through the step-by-step agency booking wizard.
Overview
The booking wizard guides you through creating a new booking or quote request. It walks you through each required piece of information in a fixed sequence, with a progress indicator at the top of the page so you always know which step is next.
To open the wizard, click New booking from the dashboard or from the Reservations section in the sidebar.
Step 1 — Trip type
Choose the trip type that best describes the booking:
| Trip type | When to use |
|---|---|
| Transfer | Point-to-point transport — airport pickup, hotel drop-off, one-way journey |
| Excursion | Round-trip or multi-stop journey returning to the origin |
| Availability (Dispo) | Vehicle and driver placed at the client's disposal for a block of time |
Select the trip type and click Next.
Step 2 — Pickup and drop-off
Enter the pickup address and, for Transfer and Excursion trips, the drop-off address. Use the address search field — it auto-completes from a geocoding service. You can also enter a free-text location label for venues not found in the database.
For Availability trips, enter only the pickup address (the starting point of the block).
Click Next when both required addresses are filled.
Step 3 — Date and time
Set the pickup date and time. Use the date picker to select the day and the time picker to set the pickup hour and minute.
For Excursion and Availability trips, an estimated end time is also required. Enter it in the End time field that appears below the pickup time.
Note: All times are stored in the operator's local timezone. Confirm the timezone label displayed on screen matches your intended time.
Click Next.
Step 4 — Passengers
Specify the number of passengers. The field accepts integer values from 1 to 99.
Optionally, select or create an End customer from your mini-CRM for whom the booking is made. Associating a customer links this booking to their history. See Mini-CRM for details on managing end customers.
Click Next.
Step 5 — Options
Select any additional options required for this booking:
- Flight tracking — enter the flight number; the operator monitors arrival and adjusts the pickup time accordingly
- Child seat — specify the seat type (infant, toddler, or booster)
- Meet & greet sign — request a name board at the pickup point
- Luggage assistance — indicate number and size of bags
- Special requirements — free-text field for accessibility needs or other instructions
Not all options may be available for every operator or vehicle category.
Click Next.
Step 6 — Review and submit
Review the full booking summary. All fields from the previous steps are displayed. Use the Edit links next to each section to go back and make changes without losing your other entries.
When the summary is correct, click Submit booking. Your request is sent to the operator.
What happens next? The operator reviews your request and either confirms it directly or responds with a quote. You will receive an email notification and can track the status in the Reservations section.
Tracking your missions
Once a booking is confirmed, it appears in the Missions list (agency-missions-list). The list shows all missions associated with your agency, sorted by upcoming pickup date.
Each row shows:
| Column | Description |
|---|---|
| Mission ref | Operator-assigned mission number |
| Date | Pickup date and time |
| Route | Pickup → drop-off summary |
| Status | Current mission lifecycle status |
| End customer | Associated end customer name (if set) |
Mission detail
Click any mission row to open the mission detail view (agency-mission-detail). The detail page shows:
- Full address and timing information
- Assigned driver and vehicle (when available)
- Real-time status updates
- Any notes from the operator
- Link to the associated invoice (when issued)
